Privacy Policy

Odins Iron Temple ("we," "us," or "our") operates the coaching platform at odinsirontemple.net and the CoachOS client portal at app.odinsirontemple.net. This policy explains what personal information we collect, how we use it, and your rights regarding that information.

1. Information We Collect

When you submit an intake form, consultation request, or check-in, we may collect:

Personal identifiers — name, date of birth, email address, phone number
Health and fitness information — weight, height, goal weight, training history, injury history, medical conditions, and current medications
Emergency contact information
Dietary information — food preferences, allergies, meal habits
Lifestyle information — sleep, stress, work schedule, alcohol use
Progress photos submitted through the client check-in portal
Bloodwork and lab results you choose to share with your coach
Payment information (processed by Square — we do not store card numbers)
Device and session data — browser type, IP address, referral source

2. How We Use Your Information

We use the information you provide to:

Build and deliver your personalized training and nutrition plan
Generate your client booklet and weekly program updates
Send check-in reminders, program updates, and coach responses to your registered email
Flag relevant health and medication considerations to your coach for program safety
Process your coaching subscription payment through Square
Improve our coaching systems and platform (data used internally only, never sold)

3. Health Data

Health and medical information you provide is used exclusively to personalize your coaching program and ensure your safety. This information is visible only to your head coach, Jonathon Irvine. We do not share, sell, or transfer health data to any third party except as required by law.

We are not a medical provider. Information you share does not constitute a patient-provider relationship. Always consult a licensed physician before beginning any exercise or nutrition program.

4. Progress Photos

Photos submitted through the check-in portal are stored securely via Cloudinary and are visible only to your assigned coach. Photos are never shared publicly, used in marketing, or transferred to third parties without your explicit written consent.

5. Data Storage and Security

Your data is stored on secure servers hosted on Railway infrastructure in the United States. We use HTTPS encryption for all data in transit. Access to the coaching dashboard is protected by a coach-only authentication layer. Client portal access is token-protected and unique to each client.

While we take reasonable precautions, no system is 100% secure. If you believe your account has been compromised, contact us immediately at coach@odinsirontemple.net.

6. Third-Party Services

We use the following third-party services to operate our platform:

Square — payment processing. See Square's Privacy Policy.
EmailJS — transactional email delivery (check-in reminders, coach responses). Emails are sent to the address you provide on intake.
Cloudinary — secure storage and delivery of progress photos.
Railway — cloud server hosting for the CoachOS platform.
Netlify — hosting for the public landing page.
Google (Gemini API) — used to generate personalized training and nutrition plans. Data sent to Gemini API is used only for plan generation and is not stored or used for Google's own model training under our API agreement.

7. Data Retention

We retain your personal data for the duration of your coaching program and for up to 12 months after your program ends, in case you wish to resume coaching. You may request earlier deletion at any time (see Section 9).

8. Children's Privacy

Our services are intended for adults 18 years of age or older. We do not knowingly collect information from individuals under 18. If you believe a minor has submitted information, contact us and we will delete it promptly.

9. Your Rights

You have the right to:

Request a copy of the personal information we hold about you
Request correction of inaccurate information
Request deletion of your data (subject to legal retention requirements)
Withdraw consent to data processing at any time (this will end your coaching relationship)

10. Changes to This Policy

We may update this policy from time to time. When we do, we will update the "Last Updated" date at the top and notify active clients via email. Continued use of our services after changes constitutes acceptance of the updated policy.
